Minutes of Board meetings, Open forums, AGM and Planning Register
December 21 2010: RUBBISH COLLECTION
The recent weather conditions have, obviously, had an impact on waste and recycling collections. South Hams District Council are advising that grey and brown bins should be left out until they are collected but that recycling sacks should be taken in until the next scheduled collection date.
20 Dec 2010: SNOWY ROADS
In view of the large amount of snow that fell overnight, we will not be salting/gritting the roads today as little impact can be made and we need to conserve our stocks of salt. As a result, the roads will be very slippery once the snow has been compacted so please take extra care when walking and driving around the village.
24 November 2010: POLICE NOTICE - COMMUNITY MESSAGING SYSTEM
This message relates to Police Log No. 307 of 18th November 2010. A new spate
of the postal delivery SCAM is circulating again. A card is posted through your
door from a company called PDS (Parcel Delivery Service) suggesting that they
were unable to deliver a parcel and that you need to contact them on 09066611911
(a Premium rate number). DO NOT CALL this number, as this is a mail scam
orginating from Belize. If you call the number and you start to hear a recorded
message you will already have been billed £350 for the phone call.
Please phone us with any information on 08452 777 444.
4 November 2010: BONFIRE NIGHT
Excuse me for stating the obvious but this Friday, 5th November, is Bonfire Night!
As in previous years, I am sure there will be firework parties taking place in the village all over the coming weekend. If you are having a firework display, please have consideration for your neighbours and let them know timings if possible to give everyone a chance to manage children, animals etc. who may be worried by the noise.
Wishing you an enjoyable, and safe, firework night!
Regards,
Lesley Abraham

Due to unforeseen circumstances the AGM scheduled for Monday 20th September will have to be postponed.
The Company anticipates that it will now take place in late November / early December but all Shareholders will receive the usual statutory notice of the revised date.
Please be aware that the Company will be urgently seeking nominations for Directors with the revised AGM documentation.

We have out first Open Forum of the year on Monday 15th March in the Jays starting at 7.30 pm, This is your opportunity to raise any matters you wish with the Directors. We hope to see many of you there.

In Item 12 of the latest minutes there is a report about us creating a group email list and posting out a slip with information and an invitation to shareholders and other residents to confirm email addresses with the Administrator should they wish to be on the list.
Since the last Directors meeting Ive met with David Roe who hosts our website. David suggests that it would be better to set up a system whereby shareholders and residents are able to subscribe directly to the various message boards on the website.
David is currently working on such a system and the directors will look at his proposal at next Mondays meeting. If this system goes ahead and I very much hope it will, we will still need to leaflet everyone to explain how it all works, but we wont need to collect email addresses as people will subscribe directly.
Best wishes
John Meehan
A belated Happy New Year to you all!
Im rather ashamed to see how long its been since I last posted an entry on this message board. In my defence though I should say Ive been more used to writing a regular feature in the Gazette to report on the activities of the Board. Thereby hangs a tale as sadly we still have no one to take over the editors chair vacated by Peter Rowlands. David Roe has kindly offered to help with the production side of things but we do need someone to gather articles, advertising and so on. Please do get in touch if you could take on this role. The Gazette is an important element of village life and it would be great to see it back in circulation.
Our new Board has met three times since the AGM in September when three new directors -Helen Ryder, Billy McKenna and John Collinson-were elected. Weve also had our first Directors Walk, going around the grounds taking stock and discussing what might be included in this years village improvement programme.
We will be planning an Open Forum for later in the Spring. As I reported in my last article in the Gazette, attendance at the Open Forums last year was very low which was why the Directors decided not to have one this autumn but we hope the proposed subject for the next meeting, village finances, will get a good response.
I appreciate the way people have been coping with the icy village roads. Many of us have left our cars down in Wrangaton Road and some people have done a bit of road clearance themselves. Bags of salt were due to be delivered last Monday but it turned out that our suppliers supplies were all requisitioned by their local council. Weve been unable to get alternative supplies.
We have our next Directors meeting on Monday. One of my new year resolutions will be to keep this message board up to date, and hopefully there will soon be a new edition of the Gazette!
Regards
John Meehan
SPRING OPEN FORUM
We are pleased to have Sophie Phillips from Renewable Energy for Devon joining us at our next Open Forum. This will be on Thursday 12th March at 7.30 pm at the Jays. Sophies attendance will be a good opportunity for discussion of solar panels and other green issues and we hope to have a good turn out for her.
Sophie will attend for the first part of the Forum and then there will be the opportunity for any other matters to be raised. We hope many of you will be able to attend.

OPEN FORUM
Our next Open Forum will be held at the Jays on Tuesday 18th November at 7.30 pm.
Following the discussion held after the AGM in September the main topic will be the possibility of developing the playing field. Suggestions already made include levelling the field for a football pitch and providing another play area for children.
The Board is keen to hear the views of shareholders and we hope many of you will be able to attend.
Members of the Parish Council will be attending and we also hope to have a representative from South Hams Council to advise on possible funding options and planning considerations.
Shareholders are of course welcome to raise any other matters of interest at the meeting.

PLANNING ADVICE
When thinking of any external alterations or additions to your property, you are reminded of the need to inform the Administrator in writing before taking any further steps. Proposals are then considered by the designated directors who may make a visit to discuss the matter further. This is to ensure that there is no likely breach of the covenants and that what is proposed is in keeping with the integrity of the village. Some alterations or additions may need planning consent from the Dartmoor National Park Authority and while it is the responsibilty of shareholders to check this and seek planning consent if neccessary, it has become the practice of the directors to consult with the Planning Officer from DNP.
Items we have been recently informed about that need DNP consent are external flues and decking above a height of nine inches. The Board will be considering how best to create an overview of planning with DNP.

AGM REMINDER
The AGM is next Monday 8th September in the Jays at 7.30. All shareholders or proxy representatives are welcome. This will be followed by an Open Forum to which all residents and interested parties are welcome.

Tennis Courts
At the last Management Co meeting we decided to change the arrangements for use of the tennis courts. We want to promote greater use by residents but we do need to keep the gate locked to prevent damage to the equipment and court surface. A combination type padlock will be fitted over this coming weekend 26/27 July.To get the combination lock number please email me at stuart@newscott.freeserve.co.uk There is a £5 charge for the number.
To date,Ive only received notification from one family that they would like to use the courts.

The Pond Church Lane/Tower Lane
The pond is undergoing some renovation work at present which will include safety provisions to prevent a child falling in. Weve had a safety check done and this is necessary to minimise risks involved in having an open unfenced pond. In the meantime, until this work is carried out, please ensure that young children are not left unsupervised near the pond.

NOTICE OF TREE FELLING
Following discussion with DNP and the Forestry Commission, felling of trees in a dead, dying or dangerous condition will take place in three areas within Moorhaven: to the side of the entrance of the drive up to the Jays Nursery; in the lower corner of the playing fields; in the area adjacent to the tennis courts.
Work will commence in the week begining Monday 8th July.

Dear residents,
Weve used the contractors we have on site doing paving work around the grounds to build a retaining wall along the bank at the front entrance. The next stage will be to face the retaining wall with stone work to match the existing walls at the entrance. When complete, the look of the entrance to the village will be enhanced, while the bank will be protected against the erosion which has become a major problem.

The new management company communications strategy has now been approved. Click on information (above) for details
Dear Residents,
As part of our commitment to ensure good communication in the village, we want to keep you informed of the steps we?re taking since the recent AGM.
One of the main points of feedback was around the need for better communication and we want to explore all the options available. We?d like to make greater use of email and the Moorhaven website to ensure you know what?s going on and in return to get your views.
To view the website, see http://www.moorhaven.org.uk/ There?s also a message board which you can use to generate ideas or add to the debate about matters affecting the village. Our thanks are due to David Roe for his administration of the website.
We recently published minutes of the AGM on the Moorhaven website and we?d now like to use this as the place to obtain and read the Management minutes. But before we take this any further, we?d like to get your thoughts about this.
There are two stages involved in this if we were to go ahead with this initiative:
1. We?d need your email address.
2. When the minutes are published we?d send you a notification and a link to the website.
If you don?t have email then we would continue to deliver a copy to you. We?ll be asking you for your preference in due course.
There are some real opportunities to reduce the amount of paperwork generated by Lesley, our Administrator, not forgetting reducing the effort involved in delivering copies to every home.
Every quarter Peter Rowlands publishes the splendid ?Moorhaven Gazette?, which again is delivered by hand. This is an important means of communication within the village and again there are savings to be made by publishing the ?Gazette? on the Moorhaven website, as well as reducing the foot-slog.
The first thing we would need is your email address. We?d promise only to use this to inform you of matters affecting the village and if ever you would want to stop this arrangement, just let us know. You will be able to do this by emailing the Administrator - moormancoltd@aol.com
We?re very excited about this proposed change which could simplify things and gives us all an opportunity to make better use of our excellent website as well as making savings on administration - not forgetting the environmental savings!
In due course we?ll be asking you to make a choice about your preferred method of receiving the Management minutes and the ?Gazette?. If you would like to discuss this further and give feedback, we?re holding an Open Forum on Sunday 25th November 2007, starting at 2pm.
THERE IS NO NEED TO TAKE ANY ACTION YET APART FROM THINKING OVER THESE IDEAS.
Yours ,
John Meehan,
Chairman, Moorhaven Management Co.
